Profiling a professor: read one professor thoroughly before reaching out
Spending 3–5 hours to read one candidate professor thoroughly before reaching out pays off far more than sending a templated email to 20 professors at once. Below is a repeatable research workflow.
Before you "send the professor your first email," you should be able to spend 3 minutes verbally telling a friend: what this professor researches, what they've been working on lately, why you chose them, and what point of connection your work has with theirs. If you can't get through those three minutes, the email will come out hollow too.
Layer 1: pin down the research direction
- Read the "research themes" or "Research Interests" section of the professor's personal page / lab website.
- Look at the past 5 years of publications on researchmap and summarize them into 2–3 "stable directions" and 1–2 "recent new directions."
- For each direction, write in one sentence "what question this professor is asking" rather than "what this professor is researching." A question carries more information than a topic.
Layer 2: judge whether the lab is "alive"
Some labs look respectable but are in fact winding down, and the professor may no longer be actively recruiting. The following signals can help you judge.
- Whether there are new outputs in the past 2 years (international journals / conference reports / monographs all count). Two straight years of silence is a red flag.
- Whether, on KAKEN, there are projects in the past 3 years with the professor as the "principal investigator." If so, the lab is still running.
- Whether the lab website has records of recent student activities / seminars. The page's last-updated date is a crude but effective signal.
- The professor's age: the mandatory retirement age at Japanese national universities is usually 65. A professor over 60 isn't necessarily not recruiting, but you should confirm whether they can see you through to your degree after taking you on.
Layer 3: the lab's ecosystem
- The current number of enrolled students (how many doctoral / master's / research students respectively). Too few may mean "not recruiting"; too many may mean diluted supervision.
- Whether there are international students — some labs are very welcoming to international students, others take none at all. The roster of past OB/OG (alumni) is the most direct evidence.
- The lab's language: are the core discussions in Japanese or English? Some science and engineering labs run entirely in English.
- Career outcomes: academia / major corporations / foreign firms / startups — these reveal how well the lab fits your future path.
Layer 4: mentoring style
This layer is the hardest to dig up online, but it also affects your next 2 years the most. From highest to lowest priority:
- Find current / former students of the lab and ask them directly (LinkedIn / society membership lists / a friend's introduction all work).
- Look at the professor's co-author network: co-authoring with many juniors signals a willingness to mentor; mostly solo authorship may indicate a more independent research style.
- If the professor is personally active on the lab blog / Twitter, observe how they interact with students.
Common pitfalls
- "This professor has a high h-index": h-index reflects past accumulation, not whether they're recruiting right now.
- "The school ranks high, so the professor must be good": a school is an average, a professor is an individual. Even top schools have professors who are near retirement or don't take international students.
- "My direction isn't clear, so I'll reach out first and figure it out": when your direction is unclear, the success rate of cold outreach is extremely low. First narrow your direction down to 2–3 keywords, then act.
